Start with the business need
Describe the problem you want to solve, the people affected and the outcome you want. Explain how the work is done today and where delays, duplicated effort or gaps occur. A useful brief explains the operating need before choosing a product.
Describe your existing environment
List the applications, equipment, locations and teams involved. Note which systems need to work together, what information needs to move between them and who can confirm the requirements. Do not include passwords or confidential records in an initial enquiry.
Agree priorities and constraints
Separate essential requirements from improvements that can follow later. Include your intended timeline, budget range, procurement process and any dates when systems must remain available. Discuss these constraints when agreeing the engagement scope.
Plan testing, training and support
Identify who will review the implementation and what they need to check before accepting it. Include user training, operating information and the support or maintenance you want after handover. These should be agreed as part of the project, alongside the implementation itself.
